    Create and edit assets

    The Assets App allows to create and edit a variety of asset types. Asset types include videos, images, files (documents), URLs and individual MAM links.

     

    The Stock page (1) under Asset (2) is where all assets can be managed.

    They can be searched and filtered according to their type (1).

    For the display of the media files, the page number (3) and number of elements (4) per page can be adjusted.

     

    1 How to create and edit assets

    To get started, existing media files can be edited or new ones can be created. Both functions apply the same dialog.

     

    In order to find the desired asset to edit, asset types can be filtered, including videos, images, audios and documents.

    By clicking the searchbar (1), the asset type selection appears, allowing to select specific asset types, e. g. videos and images, with all asset types being the default.

    Specific assets can then be searched within the selected asset type by entering their names, numbers, tags or keywords into the search bar.

    Once the desired asset has been located, it can be edited. Alternatively, a new asset can be created.

    The context menu allows to edit (1) existing media files.

    By clicking New asset (2), the different options for creating media files open.

     

    The New asset screen offers several ways to create or link media files, each optimized for a specific type of asset. Users can either upload files or create files:

    1. Upload video: Creating a new asset by uploading a video file, e. g from a local storage.

    2. Upload image: Creating a media file based on an image such as logos, visuals, or artwork.

    3. Upload file: Creating a media file based on any other file type, e. g. PDFs.

    4. Create asset (video): Creating a new asset file by specifying the data instead of uploading the actual asset file.

    5. Create material: Creating a material file such as an image related to an asset (video).

    6. Create url: Creating an asset that points to an external resource via a web link, e.g. for streaming links.

    7. Create asset with MAM: Linking an asset in this system to existing media already managed in a Media Asset Management (MAM) system.

     

    1.1 Upload video assets

    The video upload function provides a comprehensive workflow for adding video files to the system and providing them with data and content connections.

    In this process, videos can be provided with specific data and connected to content in the database.

     

    To start off the process, the Upload video option (1) needs to be selected. This is how to access the file type selection menu (see chapter 1).

     

    Video files can either be selected via the file browser by clicking on Search for asset or by drag and drop.

     

    After adding a video file, a new dialog appears that allows to specify the video asset file in terms of general information (1) and its connected content (2).

    There is also a section (3) to assign a reference number to the video asset and to upload it.

     

    1.1.1 General info

    After adding a video file, detailed general information can be specified.

     

     it is mandatory to determine the storage location (1) and bucket (2).

    In addition, video assets can be provided with a material category (3), multiple tags (4) and keywords (5), and remarks (6). Tags and keywords provide additional terms to find assets in the stock. 

    Tags (4) can be entered freely and are confirmed by pressing enter. Keywords (5), on the other hand, are selected from a drop-down menu. Both tags and keywords provide additional terms to find video assets in the stock.

     

    NOTE

    Content appearing in drop-down menus is defined in the parameters, including storage locations, buckets, material categories and keywords.

    If set as default, parameters will be preselected in the respective drop-down menus.

    Parameters can be accessed and edited by users with administration rights. If you need more information, please contact your admin or our CreateCtrl support.

     

     

    1.1.2 Connect content

    The Connection to content feature allows to link specific content such as a program or series to a video asset.

     

    By clicking Search for content (1), a new dialog opens where the content can be connected to the video asset.

     

    In this dialog, the content can be specified in terms of type (1) and title (2).

    By clicking the plus icon (3), content can be added.

     

    By clicking the x button (1), content can be removed.

     

    1.1.3 Uploading video files

    This chapter describes the process of uploading video files to the stock.

     

    Via the menu above (1), additional video files can be added by browsing or by drag and drop.

    Those video files will be listed below (2), along with the other uploaded video files. They can either be uploaded individually by clicking the individual Upload buttons (3) or by clicking Upload all (4) at the top.

     

    Before uploading an video file, the asset name (1) can be adapted, and a reference number (2) can be added. Both the asset name and the reference number can be entered into the stock search to find the asset (see chapter 1).

    Finally, the video file can be uploaded by clicking Upload (3).

     

    After uploading a video file, either additional video files can be uploaded or uploaded video files can be displayed:

    By clicking Display uploaded assets (1), the corresponding video asset will be displayed in the stock (see chapter 1), with all edtiting options.

    By clicking Upload more (2), users can browse for another video files to upload, leading to the initial menu (see chapter 1.1, second screenshot).

    The OK button (3) becomes active as soon as at least one video file has been uploaded. Clicking it leads to the general overview of all media files in the stock page.

    To return to the media file type selection, the Back to selection link (4) is available in the upper left corner (see chapter 1, second screenshot).

     

    When choosing to upload further video files (see previous paragraph), the new video asset by default contains the same information as the previously uploaded video asset.

    This is because global editing (1) is activated by default, resulting in the information entered being applied to all uploaded video assets.

     

    In order to reset the asset information, global editing (1) has to be switched off. Now the information regarding the storage location, bucket, material category and connection to content is set to default, and changes are only made to the asset last uploaded.

     

    1.1.4 Activate channels

    Only after saving and uploading the video, the uploaded video asset can be activated for channels.

     

    First of all, the edit dialog has to be acessed (see chapter 1).

    Via the activation fileld (1), channels can be selected.

     

    1.2 Upload image assets

    The image upload function provides a comprehensive workflow for adding image files such as artworks or covers to the system and providing them with data and content connections. 

     

    To start off the process, the Upload image option (1) needs to be selected. This is how to access the file type selection menu (see chapter 1).

     

    Image files can either be selected via the file browser by clicking on Search for asset or by drag and drop.

     

    After adding an image file, a new dialog appears that allows to specify the image file in terms of general information (1) and its connected content (2).

    There is also a section (3) to assign a reference number to the image file and to upload it.

     

    1.2.1 General info 

    Once an image file has been uploaded, the image detail form opens automatically, allowing comprehensive data to be entered. The General info section contains the following fields:

     

    It is mandatory to determine the storage location (1) and bucket (2). In addition, image assets can be provided with a material category (3), a material set position type (4), multiple tags (5) and keywords (6), and remarks (7)

    Files can either be selected via the file browser by clicking on Search for asset or by drag and drop.

    1.3.2 Connect content

    In addition to connecting files to content in the Content App, the Connection to content section allows to link specific programs to a file.

     

    By clicking Search for content (1), a new dialog opens where the content can be connected to the file.

     

    Within this dialog:

    1. Content type drop-down menu: A drop-down menu allows to select the content type.
    2. Search bar: The search bar is where to enter search terms into the field to locate content items.
    3. Plus icon: By clicking the plus icon or clicking the content directly, it is added to the file.

    1.4 Create assets

    The asset creation feature provides a comprehensive workflow for creating “symbolic” video assets that refer to external video files.

    In this process, video assets can be provided with specific data and connected to content in the database.

     

    To start off the process, the Create asset option (1) needs to be selected. This is how to access the file type selection menu (see chapter 1).

     

    The dialog for creating assets is divided into the following main sections:

    1. Asset information: This section captures the core identifying and technical data of the video asset such as asset name, asset number and timecodes.
    2. Connection to content: This section allows to link the video asset to content such as program versions, series or persons within the system.
    3. More numbers: This section allows adding additional identifiers beyond the primary asset number such as content IDs.
    4. Storage: This section defines where the video asset files are located within the storage infrastructure.
    5. General properties: This section allows to define technical specifications related to audio and video characteristics. In addition, tags and keywords can be added. Both tags and keywords provide additional terms to find video assets in the stock.
    6. Attributes: This section captures customized data that allows to control the behaviour of a video asset in workflows.

     

    1. Audio tracks: This section allows to define the audio track configuration for the video asset.
    2. Insert: This section allows to insert and define specific segments within the asset timeline.
    3. Remark: This section provides a free-text field for additional information about the video asset.

     

    1.4.1 Define core video asset information

    The Asset Information section contains the core information of an video asset.

     

    1. Name: A mandatory field (indicated by asterisk) where the asset name is entered. Without indicating a name, channel activation (10) is not possible.

    2. Number: An identifier field to leave an asset number.

    3. Framerate: A dropdown selection allows to select a video frame rate.

    4. TC IN & TC OUT: This field allows to define TC INs (Timecode In) and TC OUTs (Timecode Out) in HH:MM:SS:FF format (Hours:Minutes:Seconds:Frames).

    5. TC duration: Based on TC IN and TC OUT values, the TC duration is automatically calculated.

    6. Asset type: The asset type can be selected from a dropdown menu.

    7. Asset category: In addition to the asset type, the asset category can be classified.

    8. Material category: The material category is selected from a drop-down menu, as well.

    9. Activation: This is where channels are selected for the video asset to be activated on.

     

    NOTE

    Content appearing in drop-down menus is defined in the parameters, including framerates, asset types, asset categories, material categories and channels (activation).

    1.4.1 Connect content

    This section allows linking the video asset to existing content in the system. This chapter explains how this is done (chapter 1.1.2).

     

    1.4.2 Add more numbers

    The More Numbers section allows adding additional reference numbers to a video asset.

     

    By clicking Add number (1), a new row is added with the following fields:

    Number (2): This text field allows to enter a reference number.

    Reference number type (3): The type of reference number is selected via a drop-down menu.

    Remark (4): This field is designed to leave additional remarks.

     

    By clicking the x button (5), reference number entries are removed.

     

    NOTE

    The reference number type is defined in the parameters.

    If set as default, parameters will be preselected in the respective drop-down menus.

    1.4.3 Define the storage

    The Storage section defines where the video asset is stored.

     

    Both the storage (1) and storage location (2) type are selected via drop-down menus, while the storage type (3) and location (4) can be entered into free fields.

    1.4.4 Specify general properties

    This section contains technical specifications of the video asset.

     

    Both the audio system (1), TV system (2) and image format (3) are selected using drop-down menus. 

    In addition, video assets can be provided with multiple tags (4) and keywords (5). Tags (4) can be entered freely and are confirmed by pressing enter. Keywords (5), on the other hand, are selected from a drop-down menu. Both tags and keywords provide additional terms to find video assets in the stock.

     

    NOTE

    Regarding dropdown content, audio systems, TB systems, image formats and keywords are created by users in the parameters.

     

     

    1.4.5 Determine attributes

    This section allows to edit customized data that allows to control the behaviour of a video asset in workflows.

    The exact selection of attributes is a customer-specific matter. 

     

    Depending on the type, attributes can be specified by entering data into the text field (1), and they can be activated/deactivated via checkboxes (2).

     

    1.4.6 Add audio tracks

    This section defines the audio track configuration and technical specifications for the asset.

     

    Multiple audio tracks can be added to a single video asset by clicking the New audio track button (1)

     

    The Audio tracks section contains the following fields arranged in a row format:

    2. Content: This field defines the type of audio content contained in the track. Options are predefined and include: Dialogue & Effects, Final Mix, and Music & Effects.

    3. Audio system: This fiels specifies the audio format used for the track. Options are defined in the parameters.

    4. Language: This field indicates the language of the audio track. Options are defined in the parameters, as well.

    5. R128: This fields indicates whether the audio track complies with the EBU R128 loudness standard for broadcast audio normalization.

    6. Lufs: This field allows to enter a value for LUFs (Loudness Units relative to Full Scale), which is a standard measurement for perceived audio loudness.

    7. LRA/LU: This field allows to enter a value for LRA (Documents the Loudness Range), which is a standard measurement to quantify the dynamic variation of a program, indicating the difference between its softest and loudest partsindicated in Loudness Units (LU).

    8. TPL/dbTP:  This field allows to enter a value for dBTP, which records the True Peak Level measured in decibels True Peak.

    9. Remark: This is a free-text field for adding comments specific to this audio track.

     

    Each audio track entry can be removed using the X button (10) on the right side of the row.

    1.4.7 Add inserts

    This section documents specific insertion points or segments within the asset timeline.

     

    By clicking the New insert button (1), new inserts can be added and specified regarding a variety of information.

    2. Name: This field allows to assign a name for the inserted segment.

    3. New insert: This field defines the type or category of the insert from a drop-down menu.

    4. TC IN & TC OUT:  The starting and ending timecode position of the insert within the asset's timeline, indicated in the HH:MM:SS:FF format (Hours:Minutes:Seconds:Frames).

    5. TC duration: Based on TC IN and TC OUT, this field that automatically displays the duration of the inserted segment.

    6. Audio: When enabled, this field indicates that the inserted segment contains audio content or that audio should be included during this segment.

    7. Remark: This field serves to add additonal information about the inserted segment.

     

    Individual insert entries can be removed using the X button (8) on the right side of the row.

     

    1.4.8 Leave remarks

    This section provides a free-text field for additional notes or comments about the video asset.

     

    1.4.9 Save the asset

    In the last step, the video asset can be saved with all data entered previously.

     

    By using the checkbox (1) in the upper-right corner, users can decide whether they want to display the video asset in the stock after saving (2) it.

    By clicking the x button (3), the dialog is left without saving the video asset.

     

    1.5 Create material

    The material creation feature provides a comprehensive workflow for creating “symbolic” material assets that refer to external material files.

    In this process, material assets can be provided with specific data and connected to content in the database.

     

    To start off the process, the Create asset option (1) needs to be selected. This is how to access the file type selection menu (see chapter 1).

     

    The dialog for creating assets is divided into the following main sections:

    This section captures the core data of a material asset.

     

    1. Name: This field is mandatory (indicated by an asterisk) and allows ton enter the material name. This field is required for creating the material asset.

    2. Number: An identifier field allows to enter a material number.

    3. Delivery date: A date picker field allows to specify when the material asset is expected to be delivered or was delivered. The date can be entered manually or selected from a calendar.

    4. Material category: The material category is selected from a drop-down menu, allowing to classify the type of material.

    5. Material set position type: A dropdown selection allows to define the position type within a material set, e. g. in terms of dimensional specifications.

    6. Language: A dropdown menu allows to specify the language of the material asset.

    7. Supplier: A text field where the supplier or source of the material asset can be entered.

     

    NOTE

    1.5.2 Connect content

    This section allows linking the asset to existing content in the system. This chapter explains how this is done (chapter 1.1.2).

     

    1.5.3 Add more numbers

    1.5.4 Define the storage

    This section allows to define tags and keywords, which provide an additional option to the primary material number, which is part of the core material information (see chapter 1.5.1) to find material in the stock.

     

    Tags (1) can be entered freely and are confirmed by pressing enter. Keywords (2), on the other hand, are selected from a drop-down menu. Both tags and keywords provide additional terms to find video assets in the stock.

     

    NOTE

    Keywords are defined in the parameters.

    If set as default, parameters will be preselected in the respective drop-down menus.

    1.5.6 Determine attributes

    This section allows to edit customized data that allows to control the behaviour of a material asset in workflows.

    1.6 Create url assets

    The URL creation feature provides a comprehensive workflow for creating “symbolic” URL assets that refer to external URLs.

    In this process, URL assets can be provided with specific data and connected to content in the database.

     

    To start off the process, the Create URL option (1) needs to be selected. This is how to access the file type selection menu (see chapter 1).

     

    The dialog for creating URL assets is divided into the following main sections:

    1. Asset information: This section captures the core identifying and technical data of the URL asset such as name, reference number and asset type.
    2. Connection to content: This section allows to link the URL asset to content such as program versions, series or persons within the system.
    3. General properties: This section allows adding additional identifiers beyond the primary material number such as program version numbers.
    4. Attributes: This section captures customized data that allows to control the behaviour of an URL asset in workflows.
    5. Remark: This section allows to define tags and keywords, which provide an additional option to the primary material number (asset information) to find material in the stock.

    1.6.1 Define core URl asset information

    This section captures the core information of an URL asset.

     

    1. Name: This field is mandatory (indicated by an asterisk) and allows ton enter the URL asset´s name. This field is required for creating the URL asset.

    2. Number: This field allows to enter a reference number.

    3. Asset type: This mandatory dropdown selection (indicated by an asterisk) allows to classify the type of content the URL points to.

    4. URL: This is a mandatory field where the external URL is entered.

    Asset types are defined in the parameters.

    1.6.2 Connect content

    This section allows linking the URL asset to existing content in the system. This chapter explains how this is done (chapter 1.1.2).

     

    1.6.3 General properties

    This section allows to define tags and keywords, which provide an additional option to the primary reference number, which is part of the core URL asset information (see chapter 1.6.1), to find URL assets in the stock.

     

    Tags (1) can be entered freely and are confirmed by pressing enter. Keywords (2), on the other hand, are selected from a drop-down menu. Both tags and keywords provide additional terms to find video assets in the stock.

    1.6.4 Attributes

    This section allows to edit customized data that allows to control the behaviour of an URl asset in workflows.

    The exact selection of attributes is a customer-specific matter. 

     

    Depending on the type, attributes can be specified by entering data into the text field (1), and they can be activated/deactivated via checkboxes (2).

     

    1.6.5  Leave remarks

    This section provides a free-text field for additional notes or comments about the URL asset.

     

    1.6.6 Save the URL asset

    In the last step, the URL asset can be saved with all data entered previously.

     

    By using the checkbox (1) in the upper-right corner, users can decide whether they want to display the URL asset in the stock after saving (2) it.

    By clicking the x button (3), the dialog is left without saving the URL asset.

     

    1.7 Create MAM asset

    The MAM asset creation feature provides a comprehensive workflow for creating “symbolic” assets that refer to assets located in external MAM systems.

     

     

    The Material reference field (1) is where the material reference ID (MID) from the connected MAM system is entered. This ID must correspond to an existing asset in the MAM system.

    By using the checkbox (2) in the upper-right corner, users can decide whether they want to display the URL asset in the stock after saving (3) it.

    By clicking the x button (3), the dialog is left without saving the material asset.

    By saving the MAM asset, the system queries the connected MAM system and creates a link to the corresponding media file.

     

    2 How to manage assets

    This chapter describes how assets can be managed directly from the stock overview using the context menu. 

    First of all, there is an overview of managing options performed via the context menu, e. g. adding assets to folders and favorites. Then, the Clipboard feature as well as the search and filter features will be explained in more detail.

     

    2.1 Perform context menu options

    This chapter explains how to manage assets directly from the stock overview using the context menu. 

     

    First of all, the context menu (1) needs to be accessed. Depending on the asset type, managing options will vary slightly. This example shows a video asset.

    2. Edit assets: Clicking this button leads to the editing dialog of the respective asset, allowing to adapt all of its data (see chapter 1).

    3. Add to folder & Remove from folder: This feature allows assets to be organized by adding them into folders within the stock structure.

    4. Add to favorite: This feature allows to mark assets as favorites for quick access (see Manage favorites

    5. Set to archive: This feature moves the asset to the archive. Archived assets are preserved but hidden from the active stock, keeping it organized (see Archive items).

    6. Open in segmenation (only for video assets): This feature allows to divide video assts into segments for ad cuts (see Create ad cuts). 

    7. History: This feature displays detailed technical information about the asset file, including who the file was created by, when the file was created, when the file was last changed and who the file was last changed by.

    8. Delete asset completely: This feaure permanently removes the asset from the system. The system will ask for confirmation before the asset is deleted.

    2.2 Manage assets with the Clipboard feature

    This chapter describes how to use the Clipboard to collect assets to perform actions such as editing, segmentation or adding to folders and favorites.

     

    Assets (1) can be moved to the Clipboard (2), located in the left-side menu, by drag and drop.

     

    After moving, the asset appears in the Clipboard section (1). A badge (2) indicates the number of assets currently gathered in the Clipboard. It is possible for users to collect multiple assets for batch operations.

    Via the context, a multitude of editing options can be performed (see previous chapter).

     

    By hovering the mouse above an asset and clicking the x button (1), the asset can be removed from the Clipboard.

     

    Users can find their collected assets in the My Assets side tab (1) to perform management options (see previous chapter).

    2.3 Search, sort and filter assets

    All assets can be found in the stock (Contracts tab) using the general search and filter options or the SmartSearch. In addition, they can be found in the Dashboard tab.

     

    All the tabs in the left-side menu of the Stock page, including Assets, Content, Folders, Favorites, SmartSearch and My Assets (in a descending order), contain the standard search, sort and fitler features, which are always accessed from the search bar (1) located above. To further specify search results, there are individual stock filters regarding the asset types (see chapter 1).

    The SmartSearch (2) not only contains all the the standard filter conditions, but also allows users to create their own filter configurations, which can be accessed by all users. The SmartSearch filters can be used in combination with the standard search, sort and filter functions.
