    Manage folders

    Folders allow to collect and manage related content at one place. Depending on the usage, folders can be set general, app-specific, private or public.

    This article explains how to create, edit and delete folders and how to add items to folders and remove them. 

    The named procedures regarding folders apply to the following Web apps:

    • License
    • Content
    • Programmer
    • Planner
    • VOD
    • Assets
    • Sport
    • Forecast

     

    ℹ️ Topics, Teamer, Campaigns and Select do not contain folders.

     

     

    By clicking the Folder tab (1) in the left-side menu and the folder icon with a plus (2), the dialog for managing folders can be accessed.

     

    1 How to create, edit and delete folders

    This chapters explains how to create, search, edit and delete folders.  All of these functions are performed in the same dialog.

     

    1.1 Create folders and subfolders

    The initial step is to create a new folder. Subfolders can also be created if needed.

     

    In this dialog, folders can be added by clicking the Add folder button (1).

     

    Another dialog opens to determine the name (1) and type (2) of the folder. 

    1. This is where a folder is given a name.

    2.  The type of a folder defines where it will be visible. Setting folders as general (AL) makes folders visible across all apps. On the other hand, app-specific folder types make folders only visible in certain apps, e.g. Contract (VE) in the License App. 

    3. By clicking the Apply button, the folder is saved, adding the it to the list of all folders.

     

    From the list of all folders, subfolders can be created:

     

    To create a subfolder, the parent folder (1) has to be selected first by clicking it. Then, the add folder button (2) has to be clicked.

     

     

    After clicking the Add folder button, the name of the subfolder (1) can be determined. 

    The name can either be confirmed by clicking Enter or clicking on a free spot in the dialog.

     

    1.2 Search folders

    The search and filter functions allow to search for specific folders. 

     

    The search bar (1) is complemented by the a drop-down menu (2) where the folder types can be filtered. 

    For this purpose, the General (3) and app-specific checkboxes (4) can be ticked.

     

    The following sub chapters will deal with various editing functions and the deleting of folders, including the following the topics:

    • Rename folders
    • Delete folders
    • Set folders as private or public
    • Add folders to the stock and remove them

     

    1.3 Rename folders

    The Edit folder dialog allows to change the folder name.

     

    The first step of renaming a folder is to click the corresponding folder (1). 

    After that, the the Rename folder button (2) hast to be clicked.

     

    After clicking the Rename folder button, the name (1) can be changed.

     

    1.4 Delete folders

    Folders can also be deleted in the Edit folder dialog.

     

    The first step of deleting a folder is to click the corresponding folder (1). 

    After that, the Delete folder button (2) has to be clicked.

     

    As a result, a warning will appear stating that the folder and its subfolders will be deleted permanently. 

    Clicking the Apply button (1) confirms the action, while clicking the Cancel button (2) denies it.

     

    1.5 Set folders as private or public

    Folders can be set as private or public by clicking the person icon, with private being the default.

     

    As long as a folder is private, the icon with one person (1) is shown. Private folders can only be viewed and edited by the user who set the folder as so or who created the folder and did not change the default status.  

    Clicking the icon (1) sets a folder as public.

     

    As soon as a folder is public, the icon with two persons (1) is shown. Public folders can be viewed and edited by all users. 

    Clicking the icon (1) sets a folder as private. 

     

    1.6 Add folders to the stock and remove them

    Folders have to be added to the stock first before they can contain items. Adding folders to the stock and removing them app happens in the same spot.

     

    Folders can be added to the stock via the plus icon (1).

    Clicking the Apply button (2) confirms the action.

     

    Once a folder has been added to the stock, it appears in the Folder tab (1).

     

    It is possible to remove a folder both from stock in the Folder tab and in the Edit folder dialog:

    The folder can be removed from stock in the Folder tab (1) by clicking the x button (2).

    The other option is to remove the folder via the minus icon (1) in the Edit folder dialog, where it was created in the first place.

    Again, the Apply button (2) needs to be clicked to perform the action.

    2 How to add items to folders and remove them

    In the following, adding items to folders and removing them will be explained.

     

    2.1 Add items to folders

    Once a folder has been added to the stock, items can be added to it.

     

    In the Home tab (1), there is an overview of all items.  

    By clicking the context menu of an individual item (2), the Add to folder button (3) appears. Clicking Add to folder (3) opens a list of folders that have been added to the stock. In this case, only Folder 1 (4) has been added. The folder to contain the item has to selected by clicking on it.

     

    Items marked as favorites can also be added to folders in the Favorite tab (1) (see Favorites). Here, the same steps (2 to 4) apply, as illustrated in the previous example.

     

    2.2 Remove items from folders

    Items are removed from folders in the Folder tab itself.

    For the following examples, another folder has been added to the stock.

    First, the the Folder tab (1) has to be accessed.

    Then folder the item is supposed to be removed from (2) has to be selected. 

    By opening the context menu (3) clicking the Remove from folder button (4), the item is deleted from the currently selected folder (2).

     

    If an item is supposed to be deleted from a folder that is not currently selected, the the hook symbol (1) has to be clicked to select a specific folder (2).
